Guest list and RSVP: everything on one list, without chasing

The guest list is the heart of your wedding: who is coming, for which part of the day, what does someone eat, who sits where, who may give a speech. With Invitesly everything hangs on that one list, and the RSVPs fill it by themselves.

Households and guests

An invitation goes to a household: Jan and Marieke, plus grandma Toos who would not open the link herself. That household gets one link, and everyone whose email address you fill in receives that link in their mail. That way Marieke sees at once that Jan has already responded. On the invitation the names are already filled in and everyone responds separately: grandma is coming, grandad is not. A household has a maximum of ten people, and a guest on their own is simply a household of one. That way you do not have to send anything twice and nobody has to create an account.

RSVP per person, per part of the day

A wedding has two parts of the day: day (ceremony and dinner) and evening (party). Per household you indicate whether it is a day guest, an evening guest or both. Whoever is invited for the whole day answers yes or no per part; whoever comes for one part only says whether they are there. Day guests fill in their dietary needs, and everyone can still change their answer until the RSVP deadline. Everything lands straight on your guest list, and an evening guest only sees the evening in the programme.

What you can fill in yourselves

The guest list is not a read-only overview. If grandma phones to say she is coming, you put that on her line yourselves. The same goes for dietary needs you already know. A household without an email address can simply be on the list; you then fill in the answer on their behalf.

From Excel, not retyped

Most couples already have the guest list in Excel. Import it: name, email address, household and part of the day, and optionally side and relationship. No list yet? Download the template and fill it in. Adding guests later is always possible; you then only send to those who do not yet have the invitation.

Nobody to phone

Every household has a status: draft, sent, opened, responded. Whoever stays on "sent" or "opened" automatically gets a reminder before the RSVP deadline, for example two weeks and three days before. You see at a glance how many have come in: 61 of 84.

What hangs on the list

  • Exporting: the whole guest list as PDF or Excel, with who is coming, dietary needs, remarks and table. For the caterer a separate list with only the dietary needs.
  • Seating plan: assign guests to tables from the same list, with side, relationship and dietary needs shown.
  • Photo groups: "Sanne's family", "university friends": who needs to be in the photo together.
  • Speeches: a tick on the guest who may do something on the day; they then see a sign-up block on the invitation.
  • Photos after the day: with the relationship of the first person in a household you choose who sees the photos: everyone, family only, family and friends, day guests only or nobody.

Together with your planner or master of ceremonies

Working with a wedding planner? Then the planner works in the same list; you both see the same thing. A master of ceremonies can read the list, make photo groups and manage the speeches, without touching the RSVPs. Who does what, you agree together.

Frequently asked questions

How do you make a guest list for a wedding?

Work per household, not per person: one address for "Jan and Marieke and the children", with the names beneath it. Add the part of the day per household (day or evening) and, per person, optionally the relationship (family, friend or acquaintance, and for family also whether it is a parent, sibling, uncle or aunt). If more than one person in the household has an email address, everyone gets the invitation. With Invitesly that list is the basis for everything: inviting, RSVP, dietary needs, seating plan and place cards.

Can you import a guest list from Excel into a digital wedding invitation?

Yes. With Invitesly you import the list you already have, with the columns first name, last name, email, household and part of the day (for a wedding weekend: the days), and optionally side and relationship. Guests with the same household number become one household with one link. If the list is not in Excel yet, you download a template and fill it in. That way you do not have to retype 120 guests.

How does RSVP work with a digital wedding invitation?

Every household gets its own link; the names are already filled in. Per person and per part of the day (for a wedding weekend per day) guests click yes or no and fill in dietary needs. No account or app is needed. Every answer lands straight on your guest list, where you or your planner can also fill it in or change it yourselves.

Can guests still change their RSVP?

Yes, through the same link, until the RSVP deadline you set. After that the list is closed to guests, but you can still make changes yourselves, for example if someone falls ill or still passes on a dietary need.

What do you do about guests who do not respond to the wedding invitation?

With Invitesly, guests who have not responded automatically get a reminder before the RSVP deadline, for example two weeks and three days before. In the guest list you can see who opened the invitation but did not respond, so you only have to phone those few people.

What if a guest has no email address?

Just put the household on the list and fill in the answer yourself on their behalf, after a phone call or a visit. Everything attached to the list (dietary needs, seating plan, place cards) then works exactly the same as with guests who respond themselves.

Can you share the wedding guest list with your wedding planner?

With Invitesly you can, without emailing Excel files back and forth. Your planner sees exactly the same list, with the same rights: the planner can import, send, change RSVPs and make the seating plan. Who does what, you agree together. A master of ceremonies can read the list and the RSVPs, but not change them.
